"vcita has been a game changer for us..."
vcita has been incredibly useful in every part of our operations. I mainly rely on three features:
1. Marketing assistance with their lead capture and SMS features
2. Payment processing directly from our emailed invoices
3. Appointment scheduling
Before we started using vcita, we were juggling three different tools for each part of our business.
The monthly fees and per-transaction costs were really draining our resources. vcita made things easier by providing a single platform and billing system.

"Can't Reach Them at All!"
I don’t even use Vcita, but someone’s been trying to set up an account with my email. Now, I’m flooded with emails from them! When I tried to get in touch, I found out there’s no 800 number to call! And get this— the only way to reach out is by logging into your account!! HELP ME! Can someone from Vcita PLEASE let me know how to fix this?!

"Avoid Vcita at All Costs"
Vcita is just plain awful. Once you send an invoice, there's no way to make changes (even if you decide to wipe a client and start fresh). It comes with a bunch of pointless limitations (like only being able to use numbers for invoice labels, no letters allowed). You can't even use the same phone number for two different clients (so if your client runs two businesses, they better have separate phone numbers and emails for each, or else you’ll be stuck leaving those fields empty). If you care about keeping things organized and accurate, this platform creates way more headaches than it's worth. I definitely wouldn't recommend it. I just cancelled my subscription this morning.

"Decent for Scheduling, But Limited Email Options"
I've given Vcita a shot twice for different businesses. I bought the annual business suite for $540 on two occasions—once before the pandemic and once during it.
It's a decent platform if you're looking for online scheduling integration. But let me tell you, the bulk mailer and marketing templates leave a lot to be desired. You can't just paste images anywhere; they can only go at the bottom of a newsletter or announcement. Plus, the fonts and layouts are pretty limited and feel outdated.
Honestly, the templates they offer aren't exactly eye-catching for mailers, email letters, or special promotions.
Also, keep in mind that they only do automatic renewals for annual memberships. If you want to stop the auto-renew, you have to cancel your subscription or account entirely.
I had to cancel an auto-renewal earlier than expected because of the pandemic's impact on my business. I needed to stop the auto-renew due to my financial situation at that time. The only way to do that was to cancel my account, which was frustrating. Even though I had paid for a full year and had over two months left, they shut down my entire account right away, and I couldn't use the service for the time I had already paid for. They do offer two months for Covid-related issues, but you still can't turn off auto-renew without canceling your account.
Fast forward to after the pandemic, I had to rebuild my business online and create a new website. I tried Vcita again, but realized it wasn't a fit since I wasn't doing in-person appointments anymore. The mailer templates just didn't cut it compared to other marketing platforms, so I switched to a different provider for email marketing.
But, I ended up purchasing the annual business suite again. Later, when I switched to another platform for my marketing because the templates were way more customizable, I found myself in the same situation with Vcita. I wanted to avoid auto-renewing again, but the only way to do that was to cancel my account.
So just a heads up: if you cancel auto-renew, your entire account will be wiped out, no matter how much time you’ve already paid for.
Customer service is also limited to certain hours and only available via email, making it tough to reach a live person.
Vcita works well if you're doing in-person office hours and scheduling, but it’s not the best for email marketing or if you want to avoid auto-renewals. This is just my take based on my recent experiences.

"Jack of all trades, but not a master"
I've been using vCita for over five years now, and it's a pretty decent all-in-one booking tool for small businesses. They say that 'platinum members can tweak all emails' - but that's just not the case. There are quite a few emails that you can't change, so keep that in mind if English isn't your first language. The support has been pretty awful, at least for the last couple of years. I really regret picking vCita; moving my clients to a different system is gonna be tough.
They keep bombarding my clients with marketing emails even though I'm a white label partner. It's quite unprofessional since I shell out 700 bucks a year to keep their brand away from my clients. I’d only recommend it for very small businesses that don’t need quick support.

"Issue Resolved - Attempted to Cancel - No Reply $540 Lost"
After reaching out to the higher-ups, Vcita finally got back to me. They proposed a refund, so I’ve bumped my rating from 1 star to 3 stars. It’s great they sorted it out, but I sure would’ve preferred to dodge the hassle altogether.
I figured this service wasn’t right for my business, so I called my representative and sent multiple emails to cancel before the trial period wrapped up, but I never got a response. Today, I found a $540 charge on my account that I didn’t authorize. I even tried the contact@ email listed here, but still no reply. Had to get my bank involved to sort this mess out. What a total scam!
